About Optimal Kommunikation

Optimal Kommunikation is a marketing agency that helps organizations and companies find new customers through targeted marketing solutions, for example through direct mail, but also across other channels. The company currently has 16 employees and offices in both Malmö and Stockholm. With a turnover of 130+ million SEK, they support over 1800 customers in Sweden and have a strong presence across several industries.

The company has made big investments in systems to be an attractive supplier and broadened its portfolio with services in visual communication and digital marketing.

Needs

As the business has grown, the company's needs have changed. The former financial system was no longer sufficient, and a more automated workflow became necessary.

Patrik Eriksson, cofounder of Optimal Kommunikation, explains:

- "At some point we felt that we needed to take a step forward. There is a major shift in the market today towards becoming more digital, and you need to find processes that enable automation. We looked at many different financial systems, and in the end we chose ECIT and Business Central. We felt we had found something that suited our business very well".

Optimal Kommunikation has been an IT customer of ECIT Solutions Pro since 2018 and uses several services through them, including servers, Microsoft 365 with security services and an intranet. It was through this existing partnership that they learned about ECIT as an ERP system provider.

The opportunity to bring more functions together within the same environment – both IT and ERP – was a key factor in the decision, along with the good fit between Optimal Kommunikation and ECIT's Business Solutions team.

Solution and results

Business Central was launched in January 2025, and after an onboarding period of about two months, the solution was fully operational - including the supplier invoice workflow and payments.

The implementation was carried out in close collaboration between ECIT and Optimal Kommunikation, including weekly follow-ups and workshops. The system change has provided a clear improvement for the business. Previously, many processes were handled manually, from invoicing to sales follow-up and statistics, which required a lot of time. With Dynamics 365 Business Central and ECIT's developed solutions for supplier invoice management – Nordflow and Nordpay – Optimal Kommunikation now has a more integrated way of working, where both finance and customers can be managed in the same system.

In addition to the core financial processes, ECIT has implemented CRM functionality that supports both management and the sales team. The solution makes it possible to see revenue and budget directly upon logging into the system, as well as individual sales performance in real time. It is now much easier to manage and follow up more customers, enabling better service. The system has also freed up valuable time – time that now can be spent on analysis and follow-up, since many manual tasks have been automated.

The next phase of the collaboration will focus on developing integrations between the ERP system and the intranet, as well as moving more functions into Business Central. By continuing to automate and simplify workflows, the platform will support Optimal Kommunikation's current needs and future growth.
